The purpose of this privacy policy

The purpose of this privacy policy is to inform users of our site what personal data we will collect as well as the following information, if applicable:

  • Personal data that we will collect
  • Use of collected data
  • Who has access to the data collected
  • The rights of users of the site
  • The site’s cookie policy

This privacy policy operates in conjunction with the terms and conditions of use of our site.

Applicable laws

In accordance with General Data Protection Regulation (RGPD), this privacy policy is in accordance with the following regulations.

Personal data must be:

  • processed in a lawful, loyal and transparent manner in relation to the person concerned (legality, loyalty, transparency);
  • collected for specific, explicit and legitimate purposes, and not to be further processed in a manner that is incompatible with these purposes; further processing for archiving purposes in the public interest, for scientific or historical research purposes or for statistical purposes is not considered, in accordance with Article 89 (1), to be incompatible with the original purposes (purpose limitation);
  • adequate, relevant and limited to what is necessary for the purposes for which they are processed (data minimization);
  • accurate and, if necessary, kept up to date; all reasonable measures must be taken to ensure that personal data that is inaccurate, having regard to the purposes for which they are processed, are erased or rectified without delay (accuracy);
  • retained in a form that allows the identification of the persons concerned for a period of time that does not exceed that required for the purposes for which they are processed; personal data may be retained for longer periods insofar as they will be processed exclusively for archival purposes in the public interest, for scientific or historical research purposes or for statistical purposes in accordance with Article 89 (1), provided that technical measures are implemented and appropriate organizational arrangements required by the regulation in order to guarantee the rights and freedoms of the person concerned (limitation of storage);
  • processed in such a way as to ensure appropriate security of personal data, including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organizational measures (integrity and confidentiality).

Treatment is only lawful if, and to the extent that, at least one of the following conditions is met:

  • the person concerned has consented to the processing of his personal data for one or more specific purposes;
  • the processing is necessary for the execution of a contract to which the data subject is a party or for the execution of pre-contractual measures taken at the request of the data subject;
  • the processing is necessary for compliance with a legal obligation to which the data controller is subject;
  • the processing is necessary to protect the vital interests of the data subject or of another natural person;
  • the processing is necessary for the performance of a task carried out in the public interest or in the exercise of public authority vested in the data controller;
  • the processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party, unless the interests or fundamental rights and freedoms of the data subject prevail which require the protection of personal data, in particular when the data subject is a child.

For residents of the State of California, this privacy policy is intended to comply with the California Consumer Privacy Act (CCPA). If there are any discrepancies between this document and the CCPA, state law will apply. If we find any inconsistencies, we will change our policy to comply with the relevant law.

Consent

Users agree that by using our site, they consent to:

  • the terms set out in this Privacy Policy and
  • the collection, use, and retention of the data listed in this policy.

Audience measurement and marketing cookies are only used with your agreement, given in the cookie banner (see “Cookies policy”).

Personal data that we collect

Data collected automatically

When you visit and use our site, we may automatically collect and maintain the following information:

  • IP address
  • Links a user clicks while using the site
  • Content that the user is viewing on your site

This data goes through our hosting provider to display the site and, depending on your choices in the cookie banner, through our audience measurement and marketing tools.

Data you enter in our forms

We collect the data you enter in the forms on the site:

  • Contact: email, need, first name, last name, company, phone (optional), how you heard about us (optional), message (optional). Purpose: to answer your request.
  • Guide download: email, first name, last name, company (optional) and title of the guide. Purpose: to give you access to the guide and, as stated under the form, to send you advice from 425PPM.
  • Newsletter: email. Purpose: to send you our newsletter.

For contact and download requests, we also record the page from which the form was sent.

Please note that we only collect data that helps us achieve the purpose set out in this privacy policy. We will not collect additional data without first informing you.

Protection against automated submissions

Our forms contain an invisible field and a time-stamped technical token. They are used to block bots and contain no personal data. A submission containing more than three links is refused. The Cloudflare Turnstile check analyses technical data from your browser, including the IP address, to tell a human from a bot. A submission identified as automated is not recorded.

How we use personal data

Personal data collected on our site will be used only for the purposes specified in this policy or indicated on the relevant pages of our site. We will not use your data beyond what we disclose.

The data that we collect automatically is used for the following purposes:

  • Traffic statistics, with your agreement
  • Measuring the results of our advertising campaigns, with your agreement

Form data is used to answer your request, to give you access to the guide you asked for or to send you the newsletter. Each submission is notified by email to our team. Contact and download requests are recorded in Strato, our internal contact management tool. Newsletter sign-ups stay in the site database and are not recorded in Strato.

Who do we share personal data with

Employees

We may disclose to any member of our organization the user data that they reasonably need to fulfill the purposes set out in this policy.

Third parties

We may share user data with the following providers, for the purposes stated:

  • Vercel Inc. (United States)Purpose : Site hosting, form processing, file storage. Server functions configured in Frankfurt (Germany).Data : IP address and technical connection data, form content when submitted.
  • NeonPurpose : Site database, in Frankfurt (Germany).Data : Content of the Contact, Download and Newsletter forms.
  • SupabasePurpose : Hosting of Strato, our internal contact management tool. Storage of some press release images.Data : Contact and download requests: email, first name, last name, company, phone, need, message, page of submission. Not newsletter sign-ups.
  • SlackPurpose : Alert sent by Strato to our team for each contact or download request.Data : Name, email, company, job title, phone, need, page of submission, message.
  • Google (Google Workspace)Purpose : Notification email sent to our team for each form.Data : All values entered in the form.
  • Google (Google Tag Manager, Google Analytics)Purpose : Audience measurement (Google Analytics). Google Tag Manager loads our marketing tools, only with your marketing consent.Data : Pages viewed, clicks, IP address, cookie identifier if you accept it.

Some links on the site lead to third-party services: Calendly (booking a meeting), Mailchimp (newsletter archives) and artificial intelligence assistants (“Summarise with AI” button). These services only receive your data if you follow the link.

Third parties will not be able to access user data beyond what is reasonably necessary to achieve the given purpose.

Other disclosures

We are committed to not selling or sharing your data with third parties, except in the following cases:

  • If required by law
  • if it is required for any legal proceedings
  • to prove or protect our legal rights
  • to buyers or potential buyers of this company in the event that we seek to sell the company

If you follow hyperlinks from our site to another site, please note that we are not responsible for and have no control over their privacy policies and practices.

How long do we store personal data

We do not store user data beyond what is necessary to fulfill the purposes for which it was collected.

How we protect your personal data

While we take every reasonable precaution to ensure that our user data is secure and that users are protected, there is always the risk of harm. The entire Internet can be, at times, insecure and therefore we are unable to guarantee the security of user data beyond what is reasonably practical.

Minors

The GDPR states that persons under the age of 15 are considered minors for the purposes of data collection. Minors must have the consent of a legal representative for their data to be collected, processed and used.

Your rights as a user

Under the GDPR, users have the following rights as data subjects:

  • right of access
  • Right to correction
  • right to erasure
  • right to restrict processing
  • right to data portability
  • Right to object

Cookies policy

A cookie is a small file that is stored on a user’s hard drive by the website. Its purpose is to collect data relating to the user’s browsing habits.

On your first visit, a banner asks for your agreement. Refusing is as easy as accepting, and you can choose category by category:

  • Site operation (always active): the 425ppm_consent cookie stores your choices for 6 months.
  • Audience measurement (Google Analytics): cookies are set only with your agreement. Without it, Google Analytics receives cookieless signals.
  • Marketing (Google Ads, OpenAI, lemlist): only with your agreement.

You can choose to be notified each time a cookie is sent. You can also choose to disable cookies entirely in your Internet browser, but this may decrease the quality of your user experience.

Changes

This privacy policy may be amended from time to time in order to maintain compliance with the law and to reflect any changes to our data collection process. We recommend that our users check our policy from time to time to ensure that they are aware of any updates. If required, we may notify users by email of changes to this policy.
